About this policy

Romega Digital operates this application for Moody Heating and Air. This policy covers information processed through moody.romegadigital.com. It does not cover other Romega or Moody websites or the separate services provided by Google.

The app currently provides company Google sign-in and an account archive preview. Record search, archive imports, and file transfers are being prepared. This policy will be updated before new features introduce materially different uses of personal information.

Information we collect

  • Google account information. Google provides your name, email address, account identifier, verified email status, and Workspace domain when you sign in. Google may also return a profile image; the app does not save that image.
  • Session and technical information. The app and its hosting and security services process session identifiers, IP addresses, browser information, request details, and security or error logs.
  • Support information. If you contact us, we receive the information you choose to provide.

We do not receive your Google password. This sign-in connection does not request access to Gmail messages, Google Drive files, contacts, or calendars. Google access tokens are used to complete sign-in and are not saved in the app database.

Google permissions and account storage

We request only the OpenID Connect identity permissions: openid, email, and profile. Your Google account identifier links each sign-in to the same app account. Your email address and verified Workspace domain determine whether you can enter the private dashboard. Your name identifies your account within the service.

After Google verifies your identity, we store your name, email address, Google account identifier, Workspace domain, email verification date, and account creation and update dates in the app’s PostgreSQL database on Google Cloud in the United States. We do not store your Google profile image, Google password, access token, or refresh token in that database.

The sign-in exchange uses an access token temporarily to retrieve your identity from Google. The app does not request offline Google access or use that token to read your mail or files. Signing in again can update the account information stored in the app.

How we use information

We use account information to verify your identity and company domain, create and maintain your app account, and control access. We use technical information to maintain sessions, protect the service, diagnose faults, and respond to support requests.

We do not sell personal information, use Google account data for advertising, or use it to train general-purpose AI models. Our use of information received from Google APIs follows the Google API Services User Data Policy, including its Limited Use requirements.

Who can receive information

Authorized Romega personnel and Moody administrators may access information when needed to operate or support the app. Google provides authentication and cloud hosting. Cloudflare provides traffic delivery and security. These providers process information needed to supply their services.

We may disclose information when required by law or when necessary to investigate abuse, protect the service, or protect the rights and safety of others. We do not share Google account information for unrelated marketing. Google account information is not sent to Housecall Pro or ServiceTitan by this sign-in feature. Those business systems are separate from Google authentication.

Cookies and security

The app uses necessary cookies for sign-in, session continuity, and protection against forged requests. Blocking these cookies can prevent sign-in. The app does not currently use advertising cookies or optional analytics tools.

We use HTTPS, access controls, and restricted server access to protect information. No system can guarantee complete security. Keep your Workspace account secure and report suspected unauthorized access promptly.

Retention and your choices

We retain account information while it is needed to provide and secure the service. Technical and support records may be retained as needed for security, troubleshooting, legal obligations, or dispute resolution. We do not promise indefinite storage.

Contact us to request access to, correction of, or deletion of your app information. We may need to verify your identity and coordinate with Moody before acting on company records. Some information may need to be retained for legal or security reasons. Rights available under applicable law are not limited by this policy.

You can remove the app’s Google connection in your Google Account settings. Revoking access does not automatically delete information already held by the app; contact us to request deletion.

How to request deletion

Email [email protected] from your registered company account with the subject “Moody app data deletion”. Identify the app account and information you want removed. Do not send your password or a Google access token. We will verify the request, explain any information that must be retained, and coordinate removal of your app account and associated sessions. Removing an app account does not delete your Google account.

When account information is no longer needed for the purposes in this policy and no retention obligation applies, we delete it. Copies in any backups remain subject to access restrictions until those backups are replaced or expire. Information retained to meet a legal obligation or investigate a security issue is limited to that purpose.

Moody controls its business records. A request to delete a sign-in account does not automatically authorize deletion of company or customer records. We will explain this distinction when handling a request.

This app is for authorized business users and is not directed to children. For privacy questions or requests, contact Romega Digital at the address below. We will post changes here with a revised effective date and provide additional notice when appropriate for a material change.
